1. INTRODUCTION

Idwal Marine Services Limited (“Idwal”, “we”, “us”, “our”), registered in England and Wales under company number 07302506, operates the Idwal Surveyor App (the “App”), available on mobile (iOS and Android) and desktop (Windows and Mac) platforms. This App Privacy Policy explains how we collect, use, and protect your personal data specifically in connection with your use of the App.

This policy covers the App-specific aspects of our data processing. Because you are accessing the App as a member of Idwal’s surveyor network, your personal data is also governed by our Surveyor Privacy Policy, which sets out the full terms of our data relationship with you. In the event of any conflict between this App Privacy Policy and the Surveyor Privacy Policy, the Surveyor Privacy Policy shall take precedence.

3. WHAT THE APP DOES

The App is available on mobile (iOS and Android) and desktop (Windows and Mac) and is the primary tool through which surveyors in Idwal’s network receive inspection job assignments, conduct inspections, capture photographs and findings, and submit completed inspection data to Idwal’s platform. The App is intended for use by authorised members of Idwal’s surveyor network only and is not a consumer product.

4. PERSONAL DATA WE COLLECT THROUGH THE APP

In addition to the personal data described in the Surveyor Privacy Policy, use of the App involves the following App-specific data collection.

4.1 Device and Technical Data

  • Device identifiers (device model, operating system version, unique device ID)
  • App version and usage data (features used, session duration, navigation paths)
  • Crash reports and diagnostic data
  • Network connection type and status

4.2 Authentication Data

  • Login credentials used to authenticate your access to the App
  • Session tokens and access logs

4.3 Inspection Data Captured in the App

  • Photographs taken using your device camera during inspections
  • Images selected from your device photo library or file system for inclusion in inspection reports
  • Inspection findings, notes, and structured data entered through the App

4.4 Locally Stored Data

The App operates in offline mode and stores inspection data locally on your device within a secure internal app database when a network connection is unavailable. This data is automatically synchronised to Idwal’s platform when connectivity is restored. Locally stored data may include inspection findings and job details. Photographs captured during inspections are handled by your device’s default system functionality and may also be stored locally until uploaded.

You are responsible for the physical security of your device. If your device is lost or stolen while containing locally stored inspection data, please notify Idwal immediately at privacy@idwalmarine.com so that we can take appropriate steps, including remotely revoking your App access.

4.5 Push Notifications

With your permission, the App may send push notifications to your device for job alerts, operational updates, and service announcements. You can manage notification preferences through your device or system notification settings, or within the App, at any time. Disabling notifications may affect your ability to receive timely job assignments.

5. APPLICATION PERMISSIONS

The App requests the following permissions. Specific permission prompts vary by platform and operating system:

  • Camera: Required to photograph vessels, equipment, and documentation during inspections.
  • Photo Library: Required to access and attach existing images to inspection reports.
  • Push Notifications: Used to send job alerts and operational updates. You will be prompted to grant this permission when you first use the App.

We will request additional permissions only if new App features require them, and will update this policy accordingly. We do not request permissions we do not use. Permissions are requested at the platform level and you will be prompted by your device or operating system when the App first requires access.

7. ANALYTICS AND CRASH REPORTING

We may use mobile analytics and crash reporting tools to monitor App performance, diagnose technical issues, and improve the App experience. This includes collecting in-app behaviour data such as feature usage, time spent on tasks, and navigation patterns, which we use to inform product development decisions. Where we use third-party SDKs for this purpose, those providers process data on our behalf and are subject to appropriate data processing agreements. We will update our Sub-Processor List when specific tools are confirmed and deployed.

Analytics data is used for operational and technical purposes only. It is not used for marketing or shared with third parties for their own purposes.

8. DATA STORAGE AND SECURITY

Inspection data captured through the App is transmitted to Idwal’s secure cloud infrastructure using encrypted connections (TLS). Locally stored data on your device is held only until it can be synchronised and is subject to the same security standards as data held on our platform.

We have implemented appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. You are responsible for maintaining the security of your device and App login credentials. Do not share your credentials with anyone.

If you leave Idwal’s surveyor network, your App access will be revoked and locally cached data should be cleared from your device. Please contact us at privacy@idwalmarine.com if you require assistance with this.

9. DATA RETENTION

Data collected through the App is retained in accordance with the retention periods set out in the Surveyor Privacy Policy. Locally stored data on your device is cleared upon synchronisation or upon revocation of your App access, whichever is earlier. Crash reports and diagnostic logs are retained for up to 12 months.

10. INTERNATIONAL TRANSFERS

Data collected through the App may be transferred to and processed in countries outside the United Kingdom, including through the cloud infrastructure and third-party service providers described in the Surveyor Privacy Policy. Appropriate safeguards are in place for all such transfers, as described in the Surveyor Privacy Policy.

The App is available globally to members of Idwal’s surveyor network. If you are using the App in a jurisdiction with specific local data protection requirements that may affect your use, please contact us at privacy@idwalmarine.com.

11. CHANGES TO THIS POLICY

We may update this App Privacy Policy from time to time to reflect changes in App functionality, legal requirements, or our practices. We will notify you of material changes by updating the date at the top of this policy and, where appropriate, through the App or by email. Continued use of the App following notification of changes constitutes acceptance of the updated policy.

12. YOUR RIGHTS

Your data protection rights in respect of personal data processed through the App are the same as those described in the Surveyor Privacy Policy. We may need to verify your identity before processing your request. There is no fee for most requests, but we may charge a reasonable fee if your request is clearly unfounded, repetitive, or excessive.
